1. Overview
This Privacy Policy explains what information AMBIT Polyurethane LLC (“AMBIT,” “we,” “us,” or “our”) collects, how we use it, and the choices you have. We are a spray foam and insulation supply company serving insulation contractors and distributors from locations in Oklahoma, Texas, Florida and Alabama.
This policy covers:
- The website ambitpu.com
- The AMBIT Intelligence app (web, phone and desktop versions)
- AMBIT’s text message (SMS) program, AMBIT Account Alerts
- Emails, phone calls and forms you exchange with AMBIT’s team
In short: we collect the information needed to run your account and fill your orders, we do not sell it, and we never share your mobile number with third parties for their marketing. Our Terms & Conditions also apply.
2. Information we collect
Information you give us
- Contact details: name, company name, job title, email address, mobile and office phone numbers, billing and shipping addresses
- Account details: your login email and password (stored encrypted), your job role in the app, and your preferences such as whether you want text messages
- Order details: products ordered, quantities, pricing, purchase order numbers, pickup or delivery choices, and order history
- Credit and tax documents: credit applications, trade references, sales tax exemption certificates, W-9s and proof of insurance when you provide them
- Files you upload: plan sets for takeoffs, job photos, receipts, complaint reports and forms
- Messages: what you send us by email, text, phone, or through Ask AMBIT and other in-app features
Information collected automatically
- Device and usage data: device type, operating system, browser, IP address, app version, the pages or screens you use, and crash or error reports
- Approximate location based on your IP address or the AMBIT location you select, used to show the right warehouse and inventory
- Cookies and similar technologies on the website and app, used to keep you signed in and remember your settings
Information from other sources
- Microsoft sign-in (AMBIT employees only): your name, work email and basic profile from your Microsoft work account
- Our accounting system: customer account, invoice and payment status so the app can show credit terms and order status
- Business references and credit reporting services when you apply for credit terms
3. How we use your information
We use your information to:
- Create and manage your account and verify who you are
- Take, approve, fill and deliver your orders, and send order confirmations and status updates by email or text
- Process credit applications, invoices and payments, and track sales tax exemption status
- Show you the inventory and pricing for your AMBIT location and your customer pricing agreement
- Provide app features you use, such as takeoffs, smart reorder suggestions, expense reports, complaint reports and the Ask AMBIT assistant
- Respond to your questions and provide technical support
- Send service notices, such as a technical service bulletin about a product lot you purchased or a notice that your tax exemption certificate is expiring
- Keep the website and app secure, prevent fraud, and fix problems
- Meet legal, accounting and tax requirements
We may also send marketing emails about AMBIT products, training and events. You can unsubscribe from marketing emails at any time using the link in the email. We do not send marketing text messages without your separate consent.
4. Text messaging (SMS) and your mobile number
How we get your number. We collect your mobile number when you enter it in the AMBIT Intelligence app, text a keyword to AMBIT’s texting number, or give it to an AMBIT team member and ask to receive texts.
What we use it for. We use your mobile number only to send the account and order messages described in our Terms & Conditions: order approval requests, order status updates, pickup and delivery reminders, account notices and verification codes. We also keep a record of your consent, the date you opted in, and any STOP request, as required by carrier rules.
No sharing for marketing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information you share with us for text messaging, including your consent to receive texts, is not sold, rented or shared with anyone for their own use. Text messaging originator opt-in data and consent will not be shared with any third parties, except with our text messaging service provider, who sends messages on our behalf and may not use your information for anything else.
Opting out. Reply STOP to any AMBIT text to stop receiving texts. Reply HELP for help. See the Terms & Conditions for full program details, including that message and data rates may apply and message frequency varies.
5. How we share information
We do not sell your personal information. We share it only as follows:
- Service providers that work for us. Companies that host the app and database, send our emails and text messages, process files, provide the AI assistant, and run our accounting. They may use your information only to provide services to AMBIT.
- Within your company. Order, approval and account details are visible to the authorized users on your company’s AMBIT account, such as the person who approves orders.
- Within AMBIT. AMBIT’s sales, customer service, warehouse and accounting teams see the information they need to serve your account.
- Shipping and freight carriers. Name, address and phone number so a delivery can be made.
- Credit and references. When you apply for credit terms, with credit reporting services and the trade references you list.
- Legal reasons. When required by law, subpoena or court order, or to protect the rights, safety or property of AMBIT, our customers or others.
- Business transfers. If AMBIT is involved in a merger, sale or reorganization, your information may transfer to the new owner under this same policy.
We never share your mobile number or texting consent with third parties for their marketing (see Section 4).
6. Data security and retention
Security. We use reasonable safeguards to protect your information, including encrypted connections (HTTPS), encrypted password storage, role-based access so team members only see what their job requires, and hosting with established cloud providers in the United States. No system is completely secure, so please keep your login private and tell us right away if you suspect a problem.
Retention. We keep account information while your account is active. Order, invoice, credit and tax exemption records are kept as long as needed for accounting, tax and legal requirements, generally at least seven years. Text message consent and opt-out records are kept as long as required by carrier rules. When information is no longer needed, we delete it or remove the details that identify you.
Where data is stored. Our servers and service providers are located in the United States.
7. Your choices
- Text messages: reply STOP to any AMBIT text, turn texts off under Profile in the app, or email [email protected].
- Marketing emails: click Unsubscribe in any marketing email. You will still receive order and account emails needed to serve you.
- Update your information: edit your contact and company details under Profile in the app, or ask your AMBIT sales representative.
- Access or delete your information: email [email protected] and we will provide a copy of the personal information we hold about you or delete it, except for records we must keep for accounting, tax or legal reasons.
- Delete your account: use Delete my account under Profile in the app, or email [email protected].
- Cookies: you can block or clear cookies in your browser settings, though parts of the website and app may not work without them.
We do not discriminate against you for exercising any of these choices. If you live in a state with its own privacy law, you may have additional rights; contact us and we will honor them as the law requires.
8. Children, changes and contact
Children’s privacy. The website, app and texting program are for businesses and adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, email [email protected] and we will delete it.
Changes to this policy. We may update this policy from time to time. The date at the top shows when it was last updated. If a change is significant, we will post a notice in the app or on the website.
